Broadcasts and Text Blasts

Intro

Broadcast is sending out a message, or series of messages, to specific set of contacts.

A group of messages that will be delivered to the contact over several days is called a Sequence.

Keep in mind:

Sending a broadcast requires planning and careful deployment.

  • Does the list you're uploading have the right formatting?
  • Are we sending text messages too early or too late in the day?
  • How many contacts are we sending the broadcast to?
  • Have we tested the flow? (Especially needed if sending out multi-day messaging)
  • Are all videos, gifs, and images loading correctly on the receiver's end?
  • Are all users who have unsubscribed (asked DNC) tagged and removed from the lists?

Part 1: Uploading Leads

1. Prepare a .CSV File

  • Export a list of leads into Microsoft Excel that you want to send the broadcast to.
    • Note: Even if the contact has previously been added to Channel Automation, include them in the .CSV file so they can be properly segmented.
  • Each column with your information should have a header
  • Separate first and last names into separate columns
  • Format phone numbers as 11 digits without spaces or symbols. Example: +1 (555) 8675-309 becomes 15558675309
  • Export as a .CSV
  • Create a separate file for each market/channel.

✔ Excel Tip: Use Function =Concat(1,CELL#) to format the phone number into a valid 11 digit phone number. Use Excel’s delimitate feature to separate First Names from Last Names using the guide provided by Microsoft: 📄 Split text into different columns with the Convert Text to Columns Wizard

2. Import Leads

  • Navigate to the Channel where you will do the broadcast.
  • Go to the Contacts section.
  • Select Import and upload your CSV file.

  • Browse to locate your CSV file or simply drag and drop the file into this box.

3. Map Fields

  • First column shows the sample data in your CSV list
  • Second shows the column names in your CSV list
  • Custom Field - This is where you will select the corresponding custom field in the workspace
    • Select the corresponding custom field from the drop down list.
    • Leave the field blank if that data is not required for upload.

 

 

4. Finalize Import

    • Add a tag for easy identification in the workspace. To create a new tag, type it into the text box, then select it on the drop-down menu when that pops up.

  • Confirm consent checkbox for SMS compliance.

5. Verify Imported Leads

  • To check your upload, go to contacts.
  • Filter the leads by searching for the tag you assigned during the import.

Note: If you are importing new leads into the system, make sure to include an opt-in node in your broadcast flow so they can begin receiving messages.


Part 2: Sending the Broadcast

1. Set Up Broadcast

    • Navigate to the Broadcast section and select New Broadcast.

    • Select Broadcast Type: Default

2. Configure the Target Leads

  • If you created a tag for the new list of leads, choose the tag set for your uploaded list.

  • If the leads already exist within the workspace, choose the conditions to generate the target list.

    • Example: Lead Status = Lead

  • Exclude leads that are tagged/labeled with DNCs/opt-outs.

3. Configure Sending Options:

  • Select the appropriate flow for this broadcast.

  • Set the maximum number of leads to send per minute. It is recommended to stay at or below 60.

  • Schedule the broadcast for later, or send it immediately.

  • Once saved, the broadcast will start automatically.

  • You will redirected back to the main broadcast section. Your latest broadcast will be at the top of the list.

4. Monitoring:

  • View lead activity in Contacts or Live Chat.

  • Check notes, tags, and labels for updates post-broadcast.

5. Check the Error logs for any errors related to broadcasts.

 

Note: You may receive several DNC requests in the following days, especially if you’re sending messages out to many contacts. This is normal. It may feel like you’ve done something wrong, but it is a very small percentage of the number of contacts you messaged with your broadcast
